FAQs:

  1. When does the land crop officially start and end? Check-in is at 4:00 p.m. on February 4, 2021. Check-out is at 10:00 a.m. on February 11, 2021. Early Check-in is not available.
  2. How do I get to the Retreat? You'll want to fly into Waco Regional Airport (Airport Code: ACT). American Airlines flies in/out of Waco, Texas. You have the option to rent a car or simply Uber to the retreat.
  3. How do you match up roommates? We encourage you to bring along a friend. Non-crafters are welcome and will receive a $250 discount. But if you don't have a roommate, you may choose to pay the single supplement fee or we can help pair you with another crafter. Keep in mind, most rooms have either a King or Queen bed.
  4. Are Men allowed? We will allow men to attend as long as you book a private room. Men are not permitted to book the Gathering House. Non-crafting partners will receive a $250 discount.
  5. Can I bring additional drinks/snacks? Yes. If you have a favorite beverage (alcoholic or non-alcoholic) or want to bring along some snacks, you are welcome to do so. Many of the rooms have mini refrigerators. Much like a cruise ship, Coffee, Tea, Water and Juices are included. But soda and other beverages are not.
  6. How will I watch the videos? The resort has free Wi-Fi. We will watch the classes together on a TV screen in the crop rooms. However, we recommend you bring a Smart Phone or Tablet so that you can view the class directly in front of you. Please avoid bringing laptops that take up a lot of space and need to be plugged in.
  7. Will the videos be recorded? If you are not able to create with us during the LIVE Facebook video, the videos will be available to watch later at your convenience. Please consider bringing headphones if you want to watch the videos at a later time while in the crop room.
  8. What if I don't have Facebook? For this event, access to Facebook is required. If you need assistance creating an account, please let us know. If you are not comfortable using Facebook, then this event might not be for you.
  9. Will the Virtual Shore Excursion classes be private? No. Although there is a extra fee for the two optional Shore Excursions, everyone that takes part in the Virtual Cruise & Crop will be able to watch the videos. However, only those that pay extra for the Shore Excursions will receive the supplies to make the projects.
  10. Am I required to purchase the Virtual Shore Excursion classes? No. If you are attending the land crop, you are not required to purchase the Virtual Shore Excursion classes. We will be creating these together at the land crop. But these two classes are not included in your weekly fee. You will have the option to add these on later.
  11. When is the last day to register? January 20, 2021 is the last day to register for this event.

You will receive a welcome email several days before your arrival to Gathering Oaks Retreat with important entry keypad codes, directions, and instructions. Hassle free self-check in is anytime after 4 p.m. and check out is 10 a.m.

As a friendly reminder, the pool is open to all guests staying at Gathering Oaks. We kindly ask that you limit your time at the pool to 2 to 3 hours at a time. This will allow everyone to have a relaxing experience and to socially distance as needed. No more than 14 people are allowed inside the pool fence at a time.

This is a vacation rental experience and not a hotel or bed and breakfast. Gathering Oaks Retreat offers wide-open spaces, country charm, and privacy. They do not provide onsite restaurant/food, concierge, valet, daily maid service or 24/7 front desk.

As a small family business, they do not staff 24/7 front desk or phone service, so please make sure you’ve received that email before you hit the road. Let us know if you expect to be arriving late at night, as you may need more detailed directions. Texting is the quickest way to communicate with staff after business hours.



PLEASE NOTE RULES FOR ALL RENTERS AND GUESTS:

1. Fireworks or explosives are NOT allowed and use of these items will result in Renter eviction.

2. Hunting or discharging of firearms of any kind is NOT allowed and these actions will result in Renter eviction.

3. Smoking is NOT allowed on the property indoors and smoking is only allowed in designated areas outdoors near the cigarette disposal cans or receptacles. Evidence of smoking indoors or cigarette/cigar butts left on the ground will result in a charge of $500 per room.

4. Burning of candles, incense or any open flame is NOT allowed indoors. Outdoor candles must be in a container where the flame is not exposed at the top.

5. Pets are NOT permitted unless previously authorized by Owner.

6. Excessive noise of any kind above 85dB measured at any property boundary is not allowed and could result in a visit from law enforcement.
a. If a noise violation is issued, Renter is responsible for the fine.
b. If Owner receives continued noise complaints, Renter may be evicted.

7. Keep the property and all furnishings in good order.
a. Place any furniture that is moved back in its original location. Do not drag/slide furniture.
b. Do not use thumb tacks or make holes in the walls or structures
c. Confetti, glitter silly string, water balloons or similar products are prohibited.

8. Only use appliances for their intended uses.

9. Any garbage must be stowed in the proper receptacle during the stay. All Renter garbage and cooking grease must be placed in the dumpster in a sealed container or bag on the east side of the property at checkout.

10. All open food items must be removed from refrigerators and placed in the dumpster at checkout.

11. Pool Rules:
a. Glass is NOT allowed inside the pool fence.
b No children under the age of 13 are permitted in the pool without adult supervision.
c. When using the pool, remember there is a certain health risk associated with this facility. Use at your own risk. Our housekeepers, sanitize, refill and replenish chemicals in the pool weekly.
d. Owner is not responsible for injuries sustained in the pool or pool area.
e. Bring your own pool towels and do not use white hotel towels at the pool.
f. Pool is a seasonal amenity and is not heated in colder months.
g. Pool is cleaned most days and staff may perform cleaning during your stay.
h. Excessive wind, rain or seasonality may cause some debris in the pool and pool area.

12. Fireplaces and Fire Pits:
a. Do not attempt to light or burn anything in the indoor fireplaces without Owner permission.
b. Outdoor fireplaces and pits can be lit by guests with Owner permission upon availability.
c. All open flames may be prohibited if McLennan County, TX is under a burn ban.

This is a natural and rural environment. Renters understand that wild animals (including poisonous insects and snakes) may be present outdoors and it is NOT the responsibility of the Owner to eradicate or exterminate them completely. Should an animal come into a structure, notify the Owner staff immediately for removal.

Owner is not responsible for any accidents, illness or injuries that occur while on the premises or its facilities. Cruise & Crop is not responsible for any accidents, illness or injuries that occur while on the premises or its facilities.

Owner is not responsible for the loss of personal belongings or valuables of the Renter. Cruise & Crop is not responsible for the loss of personal belongings or valuables of the Renter/Virtual Cruise & Crop participant.

All Renters (Virtual Cruise & Crop Participants) are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premise.

All Renters agree that Cruise & Crop / Gathering Oaks Retreat has no obligation or responsibility for providing any police or security services for the Facility.

TRAVEL INSURANCE:
We highly recommending travel insurance to protect your trip from unknown circumstances.

Travel Insurance provides coverage for personal risks and expenses incidental to planned travel,
including one or more of the following:
▪ Interruption, delay, or cancellation of a Planned Covered Trip
▪ Loss of or damage to baggage, luggage, or personal effects during a Planned Covered Trip or

▪ Damage to accommodations or rental vehicles
